About the Department
The Event Development and Production department develops and produces NYRR events from concept all the way through execution in a way that fulfills NYRR’s mission. NYRR produces 56 races per year, in addition to the TCS New York City Marathon, and additional events within each race. The events team is responsible for physical site management, volunteer management, hospitality and special events, safety& security, and managing our Warehouse and all race collateral.
About the Position
The Timing and Scoring Coordinator will be responsible for producing accurate race times and results at approximately 15 annual events and will also be responsible for the entire life cycle of the runner bib production process for all NYRR events. This role will oversee the runner bib assign and kitting process for the TCS New York City Marathon, working closely with vendors and internal stakeholders to ensure the fulfillment of runner packets. This role will also be a key member of the team that times and scores NYRR’s marquee events including the TCS New York City Marathon, United Airlines NYC Half, and the Brooklyn Half. This full-time position reports to the Timing and Scoring Lead.
Job Responsibilities:
Bib Production:
Maintain planning schedule for runner bib production, including quantities, registration dates, bib design and printing timeline and Run Center bib pickup dates
Place runner bib and tag orders with vendors, including printing and delivery details, following up with requisitions and purchase orders, maintaining budget
Maintain race wave and corral setup in registration system, coordinating with Event Managers and Scoring lead
Coordinate youth race bib assignment in consultation with Youth Event Lead
Serve as project lead for Marathon bib production and kitting process, manage internal & external stakeholders, maintain planning schedule with deadlines. Work directly with vendor to ensure runner packets are fulfilled correctly
Coordinate marathon bib assignment, including special assignment for charities, tours, professional runners and others. Maintain bib assign files
Timing and Scoring:
Serve as Timing and Scoring project lead for approximately 15 annual events, including identifying scoring requirements and logistics, preparing and testing custom software, ensuring timing equipment and related hardware are prepared for events, providing onsite results as defined by the event
Coordinate with the on-site team on timing equipment setup and configuration, verifying signal flow
Process and update race entrant and finisher data, including internal and external reports, ensuring data accuracy
Coordinate and maintain efficiency of timing hardware, including preparation, maintenance and equipment inventory
Support the Timing and Scoring team in the planning and execution of the TCS New York City Marathon, United Airlines NYC Half and Brooklyn Half, including equipment preparation and deployment, timeline planning and other area-specific race day execution
Assist customers with results corrections and updates using CRM Salesforce
Contribute to departmental projects including training and development to create operational efficiencies
Job Requirements:
Experience:
Bachelor’s degree preferred, not required.
Project or process management experience
Experience in sport or live events preferred but not required (USATF Official Certification or participation in endurance events)
Technical experience and interest with both hardware and software
Skills and Attributes:
Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook, Teams)
Attention to detail and strong problem-solving skills
Excellent written and verbal communication skills
Able to work collaboratively with multiple stakeholders
Ability to adapt and work well under deadlines
Ability to quickly learn new software, including custom applications
Independent and driven, able to work in an office environment, on an event site or remotely, self-motivated and innovative
Basic networking and TCP-IP background recommended
Knowledge of video equipment and asset management recommended
Other Requirements:
This position requires working events, on some weekends and evenings on site in Central Park and other locations throughout the Metropolitan area
Available to work the TCS New York City Marathon, the first Sunday in November
Available to travel to vendor to check on marathon bib kitting process
Physical Requirements:
Ability to lift 25-50 lbs.
